Edge Orthodontics provides orthodontic care at our clinics in Lloydminster, Martensville, Camrose and Cold Lake. This Privacy Policy explains how we collect, use, share and protect personal information through our website, edgeorthodontics.ca, including our Contact form, our Referral Form and our virtual assessment tool.

Information We Collect

Contact form. When you contact us through our website, we collect your first and last name, email address, phone number, the patient’s date of birth, your preferred clinic location, whether you are a first-time patient, and anything you include in your message.

Referral Form. When a dentist or other health care provider refers a patient to us through our website, we collect the referring doctor’s name and office, and the patient’s name, date of birth, gender, address, email address, parents’ names, cell and work phone numbers, areas of orthodontic concern, comments, and any radiographs or images that are uploaded.

Virtual assessment. Our website offers a free virtual assessment provided by SmileSnap, a third-party service. If you use it, we collect your answers to its questions, the photos of your teeth that you take and upload, and the contact details you provide, so that Dr. Young can review them and send you a personalized smile assessment.

Website usage information. When you visit our website, our website and the third-party services described below may collect technical information such as your IP address, browser and device type, the pages you visit, and information stored in cookies.

Please only include the information needed for us to respond to you. If you would rather not send information online, you can call any of our clinics instead.

How We Use Your Information

We use the personal information submitted through our website to:

  • Respond to your questions and contact you by phone or email
  • Book and schedule consultations at the clinic you choose
  • Review virtual assessment photos and answers and send you a personalized smile assessment
  • Review referrals, assess the patient’s orthodontic needs, and communicate with the patient, their family and the referring doctor
  • Keep records related to patient care, as required by law and our professional obligations
  • Protect our website and forms from spam and misuse
  • Understand how our website is used and measure the results of our online advertising, so we can improve both

We do not sell or rent personal information.

How Form Submissions Are Handled

When you submit a form, the information is sent by email to our clinic team and a copy is stored in our website’s password-protected administration system. Files uploaded through the Referral Form are attached to that email. Access is limited to authorized Edge Orthodontics staff and the service providers who help us operate our website.

When We Share Information

We only share personal information when it is needed for the purposes above, when you have consented, or when we are required or permitted to by law. This may include sharing information with:

  • The referring dentist or doctor, and other health care providers involved in the patient’s care
  • Service providers that help us run our website and email, such as our website host and email delivery service
  • SmileSnap, which provides our virtual assessment tool
  • Google, which provides the reCAPTCHA, Google Tag Manager, Google Analytics, Google Ads and Google Maps services used on our website
  • Others where required or permitted by law

Some of our service providers may store or process information outside of Alberta, Saskatchewan or Canada, including in the United States, where it may be subject to the laws of that country.

Cookies and Third-Party Services

  • Google reCAPTCHA is used on our forms to help prevent spam. It collects information about your device and how you interact with the page. Use of reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
  • Google Tag Manager is used to manage the measurement tools on our website.
  • Google Analytics uses cookies to collect information about how visitors use our website, such as the pages visited and how visitors arrived on the site. You can opt out using the Google Analytics Opt-out Browser Add-on.
  • Google Ads conversion and call tracking helps us measure when visitors who clicked on one of our ads contact us, including by phone. To do this, the phone number shown on our website may be a Google forwarding number for some visitors. You can manage ad personalization in your Google account settings.
  • SmileSnap provides our virtual assessment tool, which loads from SmileSnap’s servers. Information you submit through it is also subject to SmileSnap’s privacy policy.
  • Google Maps is embedded on some pages to show our clinic locations, and loads content from Google.

You can block or delete cookies through your browser settings. Some parts of the website may not work as intended if cookies are disabled.

Your Consent

By submitting a form on our website, you consent to Edge Orthodontics collecting, using and sharing your personal information as described in this policy. If you submit information about someone else, such as a parent or guardian submitting information about a child, or a doctor referring a patient, you confirm that you are authorized to provide that information.

How Long We Keep Information

We keep personal information only as long as needed for the purposes described in this policy, or as required by law and professional record-keeping requirements. When it is no longer needed, it is securely deleted or destroyed.

You may ask to see the personal information we hold about you, or ask us to correct it, by contacting us. We may need to verify your identity before responding.

We handle personal information in line with the Canadian privacy laws that apply to us, which may include Alberta’s Personal Information Protection Act, Saskatchewan’s Health Information Protection Act, and the federal Personal Information Protection and Electronic Documents Act.
